WhatsApp Business app or Official API: which to use and when to migrate
WhatsApp Business app or Official API: the difference in one sentence
The WhatsApp Business app is a free customer service tool built so one person, or a very small team, can answer customers from a phone. The WhatsApp Official API is Meta infrastructure that connects your number to a system, such as a CRM, so you can serve customers as a team, automate and send messages at scale.
The difference between WhatsApp Business and the API is not "better or worse". It is about where your operation gets stuck. The app gets stuck when volume grows and more than one person has to answer. The API removes that bottleneck, but it takes more setup and adds a per-message cost.
Side by side: WhatsApp Business app vs Official API
| Criteria | WhatsApp Business app | Official API (via CRM) |
|---|---|---|
| Cost | Free | Provider subscription plus Meta per-message fee, by category |
| Team service | One main phone and linked devices, no conversation assignment | Several agents in one inbox, with status and owner per conversation |
| Broadcast list | Up to 256 contacts per list, and it only reaches people who saved your number | Campaigns to the whole opted-in base, segmented by tag, subject to the account sending limit |
| Automation | Greeting, away message and quick replies | Event-based flows (abandoned checkout, approved purchase), AI agent, integrations and webhooks |
| Messages after 24 hours | Open, but with no quality or opt-in control | Only through Meta-approved templates, with a quality rating |
| CRM and sales funnel | Manual labels | Kanban pipeline, automatic tags and history per lead |
| Reports | Basic statistics | Delivery, conversion and revenue per campaign and per automation |
| Risk of being blocked for bulk sending | High, bulk sending breaks the app rules | Lower, sending follows the official platform rules |
The row that weighs the most is usually bulk sending. The app was not designed to broadcast to a whole base, and anyone who tries it through the app or through unofficial tools risks losing the number. On the Official API, broadcasting is a supported function with clear rules.
When the WhatsApp Business app is still enough
The app is enough while your operation fits one conversation at a time, handled by one or two people. If you match every point below, migrating now would be cost without return:
- One person answers, or just a few, and everyone knows who replied to what
- You talk to a few dozen new contacts per week
- You do not need to broadcast to a large list or recover sales automatically
- You do not need to know where each lead came from or which sales stage it is in
Signs it is time to move to the Official API
It is time to migrate when the app starts costing you sales. These are the clearest signs:
- Two people answer the same lead without knowing, or nobody answers because each thought it was the other one
- You lose leads after hours and at night, exactly when they are buying
- Abandoned checkout, generated but unpaid Pix or declined cards get no follow-up because nobody remembers to chase them
- You need to notify a list larger than 256 people about a launch or promotion
- You cannot tell which campaign brought each sale
- You have already had a number blocked or restricted for sending in volume
If two or more of these are already part of your week, the cost of not migrating is usually higher than a platform subscription. For anyone selling digital products, the tipping point is usually the first time a campaign or launch depends on reaching the entire base on the same day.
What changes in cost when you migrate
On the app the cost is zero and the real price is time and lost sales. On the Official API the cost has two parts: the subscription of the platform that connects the number, and the fee Meta charges per message, which varies by template category (marketing, utility, authentication) and, from October 1, 2026, also applies to service messages above a monthly allowance.
Before deciding, simulate your volume. The Claryflow calculator estimates the monthly API cost using the current Meta rate in reais. To understand the new service-message billing, read the article about the 1,000 free messages allowance.

Migrating takes three things: a number you control, a business verified with Meta, and a platform that makes the connection. The full requirements, such as the company tax ID and Business Manager verification, are in the article about Official API requirements.
- Back up the conversation history from the app before connecting, because history does not migrate automatically
- Confirm with the provider how your number will be connected and whether it will keep working in the app afterwards, since that depends on the connection method
- Register the templates you will need to message outside the 24-hour window, such as welcome, reminder and recovery
- Warn your base ahead of time when service changes format, so nobody is surprised by the first automated message
Another point is the sending limit. On the Official API, a new account starts able to reach 250 unique contacts per 24-hour period outside the customer service window. The limit rises to 2,000 once the business is verified, and then grows automatically based on quality and usage. Anyone planning a large campaign on day one needs to account for this.
How Claryflow organizes the migration
Claryflow is a Meta Tech Provider and works only with the Official API. You connect your number inside the platform and start serving customers as a team in an inbox with conversation status, organize leads in a CRM with a Kanban pipeline, and connect your sales platform so abandoned checkout, unpaid Pix and declined cards become automatic messages.
On every plan you can also create Clary AI, an agent that qualifies and answers outside business hours. The free trial lasts 3 days and nothing is charged automatically when it ends.

What is the difference between WhatsApp Business and the API?
WhatsApp Business is a free app for serving customers from a phone. The Official API is Meta infrastructure that connects your number to a system, allowing team service, automation and sending at scale, with a per-message fee.
Do I need a company tax ID to use the WhatsApp Official API?
To verify the business with Meta and raise the sending limit, yes, the standard path is to have a company tax ID. The required documents are detailed in the article about Official API requirements.
Can I keep using the WhatsApp Business app after moving to the API?
It depends on the connection method the provider uses. Confirm before connecting whether the number will keep working in the app, and back up your history, which does not migrate on its own.
Is the WhatsApp Official API paid?
Yes. There is the subscription of the platform that makes the connection and the Meta fee per message, by template category. Messages inside the 24-hour window after the customer writes have their own rules, described in the article about the free allowance.
